Do3 Event Participation Terms
These Event Participation Terms apply to race entries for events organised by Do3 Ltd (company number 13787929). They supplement the general Do3 Terms & Conditions and Privacy Policy.
1. Organiser

2. Eligibility
Participants must be at least 18 years old on race day.
Entrants are responsible for ensuring that the information provided during entry remains accurate and up to date.
Material changes should be notified to Do3, particularly:
- medical information relevant to safe participation
- emergency contact details
- British Triathlon membership / Race Pass status
- relay team composition
Until customer self-service is available, changes can be notified via enquiries@mg.do3.co.uk.
3. British Triathlon Requirements
Every participant must, before race day, either:
- hold a valid British Triathlon membership providing the appropriate race cover
- have purchased the appropriate British Triathlon Race Pass.
Race Passes can be purchased through the relevant event listing on the British Triathlon website.
Participants who do not meet this requirement may not be permitted to race.
For Relay entries, the lead entrant is responsible for ensuring all team members comply.
4. Fitness & Assumption of Risk
Triathlon, Aquabike and endurance events involve inherent risks.
These include, without limitation:
- open-water swimming
- cycling
- public roads and traffic
- running
- other competitors
- weather
- terrain
- equipment
- environmental conditions
Participants enter voluntarily and are responsible for ensuring that they are sufficiently fit, prepared, competent and appropriately equipped.
Nothing in these terms should attempt to exclude or restrict liability where doing so would be unlawful.
5. Medical & Emergency Information
Entrants must provide accurate information relevant to safe participation.
Relevant medical information may be accessed or shared with:
- authorised Do3 personnel
- event medical providers
- emergency services
where reasonably necessary for event safety or incident response.
Medical information must not be used for marketing.
Standard medical-data retention: 30 days after the event. After 30 days, race-specific medical information should be securely deleted unless there is a documented reason to retain it longer, for example:
- accident or incident
- insurance matter
- legal claim
- regulatory requirement
Emergency contact information may remain as part of the historic race-entry record.
6. Event Rules & Instructions
Participants must comply with:
- applicable British Triathlon rules
- event rules
- reasonable instructions from Do3 staff
- race officials
- marshals
- medical personnel
- emergency services
Do3 may refuse participation, stop or disqualify a participant where reasonably necessary for:
- safety
- rule compliance
- proper event management
- dangerous behaviour
- abusive behaviour
- materially inaccurate entry information
- failure to meet British Triathlon membership/Race Pass requirements
- refusal to follow reasonable instructions
Removal or disqualification resulting from the participant's own breach does not create an entitlement to a refund.
7. Event Changes
For safety, operational or regulatory reasons, Do3 may make reasonable changes including:
- course changes
- race-format changes
- revised start times
- revised cut-offs
- transition changes
- shortening a discipline
- altering a discipline
8. Cancellation / Postponement
Where circumstances outside Do3 Ltd's reasonable control make the event unsafe, unlawful or impracticable, Do3 may:
- alter the event
- postpone the event
- cancel the event
Examples may include:
- severe weather
- unsafe water conditions
- venue restrictions
- emergency-service advice
- government action
- other circumstances outside Do3's reasonable control
Entry fees are not automatically refundable where cancellation, postponement or material alteration results from circumstances outside Do3's reasonable control.
9. Refunds, Transfers & Deferrals
Race entries are non-refundable.
An entrant may request either:
- transfer of their entry to another person
- deferral to the corresponding event in the following year
provided that the request is received at least 28 days before race day.
Requests must be made to enquiries@mg.do3.co.uk.
Requests made fewer than 28 days before the event are not eligible for transfer or deferral.
If an entrant withdraws or does not attend without completing an eligible transfer or deferral, the entry lapses. No refund, transfer or deferral is due in those circumstances.
10. Relay Entries
The person completing a Relay entry acts as the Lead Entrant / Team Representative.
They confirm that:
- they are authorised to provide the information submitted about other team members
- the information supplied is accurate to the best of their knowledge
- team members have been made aware of these Event Participation Terms
- team members have been made aware of applicable event rules and risks
- every team member will meet the eligibility requirements
- every team member will meet British Triathlon membership/Race Pass requirements
11. Photography & Filming
Photography and filming may take place during Do3 events.
Images/video may be used to:
- report on the event
- promote Do3 events
- promote Do3 activities
Participants who do not wish identifiable images of themselves to be used for promotional purposes should notify Do3 before the event at enquiries@mg.do3.co.uk.
This must remain separate from direct-marketing consent.
12. Personal Data
Do3 processes personal information in accordance with its Privacy Policy.
Registration information is used to administer and safely deliver event participation.
Marketing consent is not bundled into acceptance of these terms.
